Privacy policy
This policy covers schoolsphere.co, our public website. It does not cover the SchoolSphere application itself, which school staff sign into, nor the websites we host for schools — each school publishes its own policy for its site.
Who we are
SchoolSphere provides school management software. If you have a question about this policy or about information we hold, request a demo through our demo page and say so in the message, and we will reply to the address you give us.
What we collect, and why
When you ask for a demo
Our demo form asks for your name, email address, phone number, the name of your school, your role there, and your city and country. You may also write us a message. We use it to reply to you, to prepare a demo that matches your school, and to send you a written quote. We do this on the basis of our legitimate interests in responding to enquiries you choose to send us.
The form is protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than a script. Your IP address is sent to Cloudflare for that check and appears in our server logs if the check fails. It is not stored alongside your enquiry.
We keep enquiries for as long as we are in conversation with your school, and for up to two years afterwards so that we can pick up where we left off. Ask us and we will delete yours sooner.
When you allow analytics
If you accept the Analytics category, Google Analytics 4 and PostHog record which pages you visit, roughly where in the world you are, and how you arrived. This tells us which pages are worth writing and where people give up. We do not ask this website for your name, and we do not connect these records to your enquiry. We do this on the basis of your consent, which is why nothing runs until you accept and why you can withdraw at any time.
If you submit the demo form we record that a demo was requested, without any of the details you typed.

When something breaks
We use Sentry to record errors on this site so we can fix them, on the basis of our legitimate interests in keeping the site working. An error report includes the page you were on, your browser, and your IP address. Sentry also receives a sample of performance data — such as how long a page took to load — from ordinary visits where nothing went wrong, so we can catch slowdowns before they become errors. It sets no cookies. We keep reports for 90 days.
Who else processes it
We do not sell information about you, and we do not use it to build an advertising profile. We rely on these providers to run the site:
- Railway — hosting.
- Supabase — the database enquiries are stored in.
- Cloudflare — bot protection on our forms.
- PostHog — product and web analytics, hosted in the European Union.
- Google — Google Analytics 4.
- Sentry — error monitoring.
- Resend — the email we send in reply to an enquiry.
These providers operate in several countries, so information about your visit may be processed outside the country you are in. We chose PostHog's European region deliberately.
Your rights
You can ask us what we hold about you, ask us to correct it, ask us to delete it, and object to us using it. You can withdraw consent for analytics at any time using Cookie settings at the foot of any page — it is no harder than giving it was. If you are in the European Union or the United Kingdom, you can also complain to your national data protection authority.
Changes
If we change this policy we will update the date at the top. If a change affects what we do with information we already hold, we will ask again rather than assume.
